Privacy Policy

Last Updated: August 23, 2026

This Privacy Policy explains how Function Desk LLC, a Florida limited liability company ("Function Desk," "we," "us," or "our"), handles personal data on the website at functiondesk.com and its subdomains, including docs.functiondesk.com and console.functiondesk.com (together, the "Site").

Each section begins with a short plain-language summary marked "In short." The summaries are for readability; the full text controls. Where we provide services to a client under a separately executed agreement, that agreement and any data-processing terms attached to it govern the data handled in those services.

The short version of the whole policy: we collect very little. Analytics runs only if you accept it. We do not sell personal data, run advertising, or track you across other sites.

1. Who is responsible

In short: Function Desk LLC is the controller. Write to legal@functiondesk.com about anything in this policy.

The controller of personal data described in this policy is:

Function Desk LLC, 11100 SW 93rd Crt Rd Ste 10-228, Ocala, FL 34481-5188, United States. Email: legal@functiondesk.com.

2. What we collect, and why

In short: your email if you write to us, a consent choice, a theme preference, short-lived server logs, and — only if you accept — aggregate analytics.

Data When Why Legal basis (EEA/UK)
Correspondence — your email address and what you write You email us To respond and keep a record of the exchange Legitimate interests
Consent choice — "accepted" or "declined" You answer the cookie banner To honor and remember your choice Legal obligation / legitimate interests
Theme preference You use the light/dark toggle Stored only in your browser so the Site renders as you chose; never transmitted to us Legitimate interests
Server and delivery logs — IP address, user agent, requested URL, timestamp Automatically, on each request Security, abuse prevention, and diagnosing faults Legitimate interests
Analytics — pages viewed, approximate traffic sources, device characteristics, coarse location Only after you accept the banner Aggregate statistics to improve the Site Consent
Console sign-in input You use the console sign-in Authentication of invited clients; sign-in input is not used for any other purpose Legitimate interests / contract

We do not collect payment details, government identifiers, or special categories of data through the Site, and we ask that you not send them to us by email.

3. What we do not do

In short: no selling data, no ads, no cross-site tracking, no automated decisions about you.

We do not sell personal data and have not done so. We do not share personal data for cross-context behavioral advertising, run advertising on the Site, use cross-site tracking, or make automated decisions about you that produce legal or similarly significant effects.

4. Analytics

In short: analytics is off by default. If you accept, Google Analytics collects aggregate usage statistics on our behalf; reporting does not include full IP addresses.

If you accept analytics through the consent banner, we use Google Analytics to produce aggregate statistics about how the Site is used. Measurement is disabled until you accept; our configuration uses a consent mode in which analytics storage is denied by default. Analytics data is processed on our behalf under contractual restrictions, reporting does not log or store full IP addresses, and we do not use analytics to identify individual visitors. The Cookie Policy describes the mechanics, lifespans, and how to change your choice at any time.

5. Who we share data with

In short: only the vendors that run the site (hosting, analytics), and authorities when the law genuinely requires it. Never buyers of data.

We share personal data only with: (a) service providers that process it on our behalf and under our instructions — currently Amazon Web Services, Inc. (hosting and content delivery) and, if you accept analytics, Google LLC (analytics); (b) authorities or other parties where required by law, to comply with legal process, or to protect the rights, safety, or property of Function Desk, our clients, or others; and (c) a successor entity in connection with a merger, acquisition, or sale of assets, in which case this policy continues to apply to the transferred data.

6. International transfers

In short: the site is operated from the United States. For visitors in the EEA, UK, or Switzerland, transfers rely on recognized safeguards.

We operate the Site from the United States. If you access it from the European Economic Area, the United Kingdom, or Switzerland, your personal data is transferred to the United States. Where such transfers require safeguards, we rely on our providers' participation in the EU–U.S. Data Privacy Framework and its UK and Swiss extensions, or on standard contractual clauses, as applicable.

7. How long we keep data

In short: logs go quickly, correspondence goes when it's no longer needed, analytics follows the provider's standard retention.

Data Retention
Server and delivery logs Up to 90 days, longer only if needed for an active security investigation
Correspondence For as long as needed to handle the matter; generally no more than 24 months after the exchange ends
Consent choice Approximately 6 months, then the banner asks again
Analytics (if accepted) User-scoped data up to 14 months under the provider's standard configuration; aggregate reports thereafter

8. Your rights

In short: you can ask what we hold about you, ask us to correct or delete it, object, or take your complaint to a regulator. Email us and we'll act on it.

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal data; to object to or restrict processing; to withdraw consent (without affecting prior processing); and to not be discriminated against for exercising these rights.

EEA, UK, and Switzerland. You have the rights above under the GDPR and its UK equivalent, and the right to lodge a complaint with your supervisory authority. Where we rely on legitimate interests, you may object based on your particular situation.

United States. Residents of states with comprehensive privacy laws — including Florida, California, Colorado, Connecticut, Texas, and Virginia — may have rights to know, access, correct, delete, and obtain a portable copy of personal data, and to opt out of sales, targeted advertising, and certain profiling. We do not sell personal data or use it for targeted advertising, so there is nothing to opt out of; the remaining rights are available as described here.

To exercise any right, email legal@functiondesk.com. We will verify your request using the email address associated with the data and respond within the time required by applicable law. An authorized agent may submit a request on your behalf with proof of authorization. If we decline a request, we will explain why, and you may appeal by replying to our decision; where your state provides it, you may also contact your attorney general.

Because analytics is consent-based and off by default, browser signals such as Global Privacy Control do not change our default behavior — there is no sale or ad-targeting to opt out of, and no tracking occurs unless you have accepted it.

9. Children

In short: the site isn't for children, and we don't knowingly collect their data.

The Site is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us personal data, contact legal@functiondesk.com and we will delete it.

10. Security

In short: encryption in transit, restricted access, minimal collection.

We protect personal data with measures appropriate to its low volume and sensitivity, including encryption in transit (TLS), encryption at rest for stored content, access controls with multi-factor authentication on our infrastructure, and the practice of collecting as little as the Site needs to function. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

11. Changes to this policy

In short: updates get posted here with a new date; significant changes will be flagged.

We may update this policy from time to time. The revised version will be posted on the Site with an updated "Last Updated" date, and material changes will be indicated in a reasonably prominent way. Where a change requires your consent under applicable law, we will obtain it.
